The strongest dashboards balance leading indicators, lagging outcomes, asset criticality, work quality, and operational impact instead of displaying every number a CMMS can produce.

The right metrics depend on the assets, service expectations, regulatory environment, available data, and management decisions that the dashboard is meant to improve.

Start by defining the decision categories. Leadership may need to know which assets deserve capital funding. Maintenance managers may need to schedule labor and manage backlog. Technicians may need to see repeat failures and parts availability. Property managers may need complaint trends. Energy managers may need system performance and after-hours runtime. If one dashboard tries to satisfy everyone, it often becomes cluttered and ignored.

If an asset repeatedly fails despite proper PM, if parts are obsolete, if efficiency has declined, or if safety risk is increasing, the dashboard should trigger a capital review. This applies to mechanical systems, roofs, pavement, elevators, domestic water equipment, lighting, and exterior assets.
